Meeting Minutes 1.15.18 Waterbury

Attendance: Paul Dudley, Tim Fornier, Orianna Pecor, Jeremy Haas, Stephen Dick

Happy New Year Everybody! We had our first meeting of the 2018 Year at Zachary's in Waterbury. Similar food, but different vibe (there was a Mona Lisa own the wall)

We discussed Lake Iroquois conditions with the Ice loss and ramp damage. Talks of location change to a thicker Mallets bay, but Insurance details may have to have us wait until the 27th. Also discussed was possibility of Swanton Bay with reports of 18" this Ice there. follow up discussion after research for sure.

The Location of meeting and date change from 3rd Tuesday to 3rd Monday were discussed. Open to suggestions not trying to alienate anyone. Just trying to find the best match and location for all.

2017 Season Banquet this Friday at City Sports Grille in Spare Time, Colchester 1.19.18 at 7PM Come join the Fun! Banquet details are coming together, Trophy's are almost ready, Slide show Pics are appreciated and welcomed.

Insurance concerns around Hill climbs and Track Autocross, Looking for more info and follow up.

Plowing Options for 2018 ITT: Bronco, Mike from Essex, Jeremy's Dad...

Canaan Details about cost and extra activities discussed. Open to suggestions for fun stuff to do that weekend when not on the track. Games, swimming, food and general fun stuff.

Shirts for SCCV were talked about with different color options for board / non board members, still working out details.

Voted on secondary meeting place Waterbury Zachary's Pizza in Waterbury every other week. Passed.

Voted to keep meetings on Tuesdays Passed.

Club Shirts Need more time for options and further discussion. Checking into long sleeve / short sleeve, shop type shirt / t shirt and possible different vendors. Will re-visit.

Canaan Contract June 9-10 Weekend. Convertibles have specific rules to be clarified. Looking at food options. Bathroom and shower options. Refundable deposit.

Thunder Road Working on contract, looking at 3 events, likely limiting attendance to 60 drivers

Diamond Run Mall Car Show April 7-8 Simon, George, Nicole, Connor interested. (Connor with Video Screens)

Diamond Run Mall Autocross Seems likely to have events, will follow up. K-Mart may be closing...

msreg.com Incentive Discussed how to give incentive for pre-registering as it helps event planning with run group and work station assignments. Discussed refund policy. Discussed and voted on 2018 Autocross Rates.

Official Cancellation Policy Details about 9pm before day of event cut-off. refund vs. Credit.

No ITT this weekend Sat the 24th Poor conditions. Hopeful for next Saturday.

Diamond Run Mall Dates and details:
4 events this year with a possible 5th if Thunder Road conditions are not great. Dates are: May 6th, July 1st, Sep 23rd and Oct 7th.

Canaan 2 day event Weekend of June 16&17

Diamond Run Car show the weekend on Apr 7th & 8th: Hoping to get 4-6 cars in there representing us in a variety of ways including superstud tires. Video footage of events also playing. I have details of who and how if anyone has further questions (its a process)

MoHud Autocross season is on hold. We could accommodate possibly.

Mount Philo Hill Climb hopefully but not known for sure at this point.

King Track Day at Canaan April 29th on a full moon. Interesting sounding event. Not hosted by us. Info at Motorsport.reg

Vistaprint flyer or Info card details. Hope to have in time for the car show.

SCCV T-Shirts Discussed details and voted on. Unanimously voted in Grey with logo for members and public, Green with logo for Board. Will have available on Motorsport.reg
Majority Voted in price at $15-$20 with both long and short sleeve options S-XXL

We discussed waiving the first fee for not pre-registering, encouraging people to get in touch with Orianna if need help getting set up on Motorsport.reg

50/50 raffle. Looking for someone to sell tickets.

Thunder Road Details 3 Events this year! Apr 22 (possible rain location of Diamond Run Mall), July 29. This will be on new pavement so we will need to have wood or metal under Jacks. We will provide plywood for participants to use. and August 26th. Hope to have 3 run groups of 20, 60 Total. Encourage pre-registration. Registrants can back out untill the closing of registration 9pm Saturday before the event.

We will be announcing rules / points information including requirements for Thunder Road and Canaan

Some questions about classing point system details. Mostly around engine swap details. Clarify wording around the engine donor vehicle (If was originally Turbo, or added after) as well and questions about a grey area in tire requirements. Should tires with a UTQG rating between 81-140 get additional points? and non DOT tires? Will be discussed and voted on at next meeting April 17th.

Mount Philo Historic Hill climb Meeting Thursday at CCS in Charlotte to discuss issues around local concerns, foliage, access to a state park when closed, Historic Hill climb held since 1975.

DRMAX #1 this sunday Be early (oops I was late, sorry) we may need to swap things around work station and run group wise. We'll have people buying memberships and classing.
We'll have shirts for sale!

A quick vote passed for NEHA Classing change. No general rule changes. Classes made for engine changes over the years. Unanimous Vote Passed.

SCCV AX tire classing change Non DOT +15 points, 80 tread wear and under +10 points, 81-200 tread wear +5 points.
The 81-200 is the new class. Voted on and passed.
Will add a section in tech for checking tire class.
Have participants check and verify classing.

Engine swap concerns Continued conversation on this with several concerns and examples of donor car classing as well as mods done after swap.

Voted to rephrase wording on shocks Change from "performance shocks" to "Non OE shocks" -Passed.

Face book What content should be on our FB page? How is it relevant? How does it relate to us?
Our Facebook page is to relate info about our events, other items can make it harder for people to locate info on our events.
will have a proposal for next meeting. Admin has the right to approve or not approve videos & content.

Small, kinda noisy meeting. Went well though.

Facebook Rules Discussed how our posts should represent safety and sanctioned events.
-The posts should be related to our events (and is related events (like AMEC or Drag racing in Naperville QC...) should still only represent safe and sanctioned events.
-Lets not comment on SCCV rules unless we are a part of ADMIN, thanks
-Lets not be soliciting "likes" and keep non SCCV promotion at bad (ADMIN discretion)
-Keep length of content reasonable.

Pics from Workstations
-Photographers must have spotters.
-If there are three at a work station, one could take pics, but don't leave workstation or distract drivers.
-Stay invisible to drivers (If photographing)
-No running out in front of drivers

Canaan Details
-Arm Restraints for Drop Top Cars? OK if top is up?
-Pets allowed?
-Bikes allowed?
-Friday night Camping? (what time can we get there?) If so, 5.00 extra cash to camp per/person? NO DRIVING ON TRACK FRIDAY! (7am Sat track opens)

Canaan! Due to a great weekend there all around we are looking at having a second weekend there in September (likely to be Sept1st & 2nd) We discussed insurance issues and found that the best solution would be to set up an exciting and dynamic course while keeping within our insurance guidelines.
- Should we have three run groups again or two. Leaning towards two with a shorter lunch.
- Flaggers were discussed
- Charge individually for camping? we're checking into reduced fee camping -there is a nearby campground that has showers.

Mt. Philo Hill Climb With 676 signatures on the petition the event will take place this year!
- Philo will happen on Oct 19-21, 2018
- Next Year looking at moving the event to May

Thunder Road July 29th Event we'll use the track only and when Jacking on the Paddock use blocks of wood to protect the fresh pavement.
- 2 run groups
- have pizza delivered again for quick turnaround

Season's Pass Ideas were tossed around to provide incentive and discounts:
- Bring a new attendee earns a 5.00 discount?
- Have it on MRS database
- How many years back?
- 20.00 discount for attending all events?
- Digital punch card

Thunder Road: Our next two events July 29 & Aug 26
-We are not allowed on the property before 8:00am, please respect this.
-Discussed details of course layout and reflected on successes and challenges from last year.
-New pavement is curing and will affect the course layout for both events in exciting and varied ways.
-Lunch. Having pizza delivered again worked great last year and makes for quicker turnaround = more seat time.
-Run groups, discussed having 2, 3 and even possible 4 (1A, 1B, 2A, 2B) Will revisit and decide based on how many entrants we have.

Canaan Sep 1&2
-Contract looks good
-Camping Saturday only
-Remember decibel limit for this track
-More details to follow

General stuff
-Live timing options were discussed including Live timing module, old fashioned white dry erase board, extra big monitor, and a ticket printer.
-Double drivers: to split or not to split. Looking like splitting them will run smother but will further discuss and go over during drivers meeting.
-New and better stickers coming soon

Future Board positions
-Can a person run (and or be nominated for) more than one position. I feel we all agree that one person can not hold two positions, This was to clarify in the event of a person running for a position and not winning it, could they still serve on the board under a different position. Well need to check the by-laws and clarify and will likely vote at next months meeting

Thunder Road This Sunday
-25 drivers per-registered (common, many last minute will likely happen)
-Utilizing the Paddock area.
-Makes the Roll bar rule not needed as competing of flat surface
-Parking in the outfield (we'll help everybody find the right spots)
-Spectator location is curious, We'll find a spot that makes sense for Mom, Fred, my brother plus three and others
-4 Run Groups. Worked real well at last event (with minor exceptions you know who you are :) ) And Appreciated by Most especially Stephen, Paul and Simon)
-We'll use an Air Horn to notify run group A/B changeover

Event Coordinator Position Change
-Jeremy requested that Simon will take over his position for the remainder of 2018.
-Simon accepted and Connor Chapman will take over Simon's Public Relations role for the remained of 2018, Thank you all your are fantastic!

2019 season planning (first time I've typed 2019)
-Canaan planning. Need to plan around other related club events.
-should we do one weekend or two?
-pricing issues

This years Canaan event
-No camping Friday (there is camping options about 2 miles from there with showers and can have fires)
-Long sleeve and long pant is is our contract and we'll stay classy and honor this without dispute

Mt. Philo
-Oct 19, 20 & 21 (right?)
-2019 will be looking at having event in Spring vs. Fall (preferable as higher attendance is likely)
-Looking for Tech workers as well and a good Tow truck operator (preferable experienced with our type of events. Also at a reasonable price.
-May be looking at Columbus day moving forward

SCCV stickers
-Decided to distribute the ones we have and then utilize new Vendor "Pumpkin Harbor Designs" for our next batch. Reasonable price, High quality, Great local people (Stephen's friends)

ITT question
-Can we raise the height restriction of 68" inches? To allow lowered trucks with small tires and that kind of thing. Sticking with the 68" inch rule.

Diamond Run Mall Autocross this upcoming Sunday
-Business as usual.
-for our last event October 7th we will likely use the paddock area for our course.
-discussed a new staging technique, Park beside each other and pull out in order "LeMans style", not sure if well try it or not.
-talked about having more people rotate into roles of starting and timing to best utilize our talents.
-possibly have a new worker station to organize work and run groups to maximize efficiency. Orianna pretty much volunteered.

Live Timing
Im gonna be honest here, a lot of tech-talk happened here that flew over my head, but heres what i gleamed:
-we could buy a live timing system. Software is $850.00, some hardware is also needed. (possible donations) including a router. To get a website is $400.00 more.
-There may be a way to use our existing equipment with USB connection and adapter to save money.
-"Live timing is the future of all motorsport clubs" and it would do away with the need to write down times with a pen on paper, eliminating multiple errors.
-financially we are breaking even currently, so we could swing it, but lets be wise and look at options.

2019 schedule (first time I've typed 2019)
-Paul would like 2 Canaan events and 3 Thunder Road Events.
-would be helpful to get our Thunder Road events on the Thunder Road website and face book (cross pollinate)
-discussed 5 of us putting on a here's what SCCV autocross looks like demonstration intermission show during a Thunder Road Main event intermission.
-Canaan lets shoot for solstice when the days are longer and have Friday and Saturday camping

Ice Time Trials 2019
-Lets have another Gymkhana! mebbe our third event. and we should clarify elements and scoring to avoid confusion.
-For Elmore and Iroquois we may require the event to be a fishing derby / Time trial to appease local laws. Fishing license may be required.
-May have Swanton access as a new option (thanks Orianna, Seymour and Family!)
-Elmore State Park may be an option, but plowing may be a challenging issue.

-Been going since 1975, there is a possibility that this may be the last year (lets Hope not!)
-we need a wrecker driver (who is car savvy with recovery skills and keep the car intact mindset) Stephen suggested Marcoux's in Morrisville and will put him in touch, Alex Bellone may have a contact as well, will put them in touch with Steve Jones.
-Entry feel will be discussed (likely to be impacted by wrecker agreement cost)
-need workers (the best place to spectate at a Hillclimb) Eric R is Registrar, Steve J and Chris R are co-chairs.
-Friday behavior. Can get on the Hill at 12. noon but NOT before.
-The State will be looking at this event as they think about the future. (be Nice!)
-discussed work station details as well as lineage to keep spectators and all safe.
-hoping to have Philo 2019 in the spring for several reasons moving forward.
-Steve has created a post in our forums to share information for our 2018 event.
