10.16.18 S. Burlington

A 10 Dance: Connor Chapman, Orianna Pecor, Chris Reiley, Paul Dudley, Montana, George Rooney, Seymour Prescott, Steve Jones, Tim Fournier, Stephen Dick

(this got deleted accidentally, so re-typing excuse me if a bit salty)

Agenda items: Live timing. Club Helmets. Mt. Philo Hill Climb. By Law changes / updates

Mount Philo Hillclimb Its this weekend! We need MORE drivers and more workers! Bring it on!, its fun either and both ways!! Friday course set up day we can be on the mountain at Noon.
-we hope to have a Mt. Phil event in the spring of 2019, but have requested 3 weekends in 2019.

Spending Helmets / Live timing equipment / extra timing lights
-Helmets - How many? wait for 2020? wait for donations? donkey signs seem to point to waiting for now.

Finances Big picture is that we are breaking even (what we are supposed to do as a non-profit. (145.00 down for the year, cash 13K, with big commitments pending. all good.)

Potential winter autocross in Hanksville (cool location, I just went to a sweet Mud-Bog there)

(this meeting went on and off task a few times, I'm just going with my chronological notes :)

Live Timing is 840.00 plus a little
-Need a Hot Spot, Need cell service
-Voted to purchase needed equipment estimated between 600 - 1000. Passed!

Note: Cell Phone mounts to be looked at for future tech inspections. Safety first!

Is there a better solution to plastic bags to cover timing lights in the future? (we had issues at last event with timing due to bags fogging up...)

Should we buy another easy up?

Our AutoCross trailer needs State Inspection (Chris R. will handle Thank you Chris!)

By Laws Update will circulate proposed changes / updates / revisions and will vote at next meeting

Meeting Location Seems to feel that the Waterbury location is less than ideal. Looking at places in Richmond for the Non-Burlington Zachary's every other month meetings. More to follow.

Banquet Details New Location? (Spare time is cool, but very noisy.)

What worked this year and what could be improved on? Great Year!
-would we benefit from having added time allowed at events? (pros n cons) Connor will put up a poll for club input.
-Saturday and sunday events? (pros n cons)
-Could we draft a letter to fish and game / Contact commissioners office for permission for out Ice Time Trial events? Can't Hurt. (or could it? lets hope not)

(wow, went all bold towards the end... looked into correcting, not happening Love you all!)

Meeting Notes 11/20/18

Attendance: Tim, Orianna, George

1. Rule changes for next summer to be done soon - Tim will post request for rule change proposals for next summer season (mandate change proposals for next meeting).

2. Nominations end 12/4. Voting 12/4 to December meeting (12/18). Voting may occur at meeting as well and be finalized at the meeting with 2019 board declared. Need more nominations currently. No nominations were made during meeting.

3. By-laws vote in December meeting to finalize update. Draft finalized - see edits here (superceded by-laws highlighted in red to compare): http://sccv.org/wp/wp-content/uploads/2 ... .24.18.pdf

4. SCCNH has locked in their Canaan dates: 6/15-6/16, 7/27-7/28.
Our Canaan ideally mid-June (8-9, 15-16), as well as late august to early september (Aug 31-Sep 1). Awaiting lock-in
Events to work around as well: NEHA events: Philo 5/11-5/12 tentative. Ascutney 5/18-5/19. SCCNH's hillclimb 9/20-9/21. Only events confirmed at this time.

6. Milton venue possible for wintercross - more to be determined. Possible other lead in Hinesburg(?). ITT letter to Fish & Wildlife status still unclear - hoping to hear back next week.

7. Hinesburg Public House for club meeting space? Separate room but max of maybe 15.

8. Banquet location change - place down the road from Waterbury Zachary's (think it can be rented). Need ideas - post to membership?

9. Trophies - No idea, what's our plan?..

Meeting Notes 12/18/18

Attendance: Connor Chapman, Orianna Pecor, Seymour Prescott, Chris Rielly, Shawn Christianson, Tim Fournier, Paul Dudley, Jeremy Haas, Brittney Palermo, Ed Williams +1, Alex Bellone, Kaley Sanborn

By-laws: Vote on by-laws passed unanimously.

Season Points: Season Points are complete for summer – to be announced in next couple days. We are working on combining winter and summer for the overall year points.

Winter Autocross: Our venue currently secured is a field located at the Hanksville Mudbog property (not the mudbog field, but another field). We are hoping for January 12/13 for possible first event, but the current weather may likely postpone this. These events are conditional with weather just like ITT. The venue will be bumpier and more rugged, so lowered cars are not recommended. Non-studded winter tires and street studded winter tires only. NO ALL SEASONS. NO SUPER STUDS. There is no decibel restriction at this venue. Fingers crossed, and the guide/rules page will come out shortly.

Rule Changes: Summer season rule change requests deadline – none brought forth. Classing groups will be updated for 2019.

Banquet location and trophies: Planning car part trophies for 1st only – something else for 2nd, 3rd. Consider novice class to get car part trophy for podiums. Jeremy will inventory what parts he has. Jeremy will take care of engraving w/ Mace Engravers. Stock aluminum needed and will reimburse. Shawn will take over responsibility for aluminum bending, welding of trophies.

Trailer: Need shelves for autocross trailer.
