Meeting Minutes 1.15.19 Waterbury

Attendance: Paul Dudley, Tim Fournier, Orianna Pecor, Seymour Prescott, Jeremy Haas, George Rooney, Stephen Dick, Connor Chapman

Happy New Year Everyone! We had our first meeting of 2019 in Waterbury tonight. we discussed several things for upcoming year, Here are some highlights:

Banquet at spare time on Jan 25th Please register on MSR if you haven't already, There will be trophies and prizes along with good company fun, food and drinks.

2019 ITT Season Discussed our roles on event days. Paul / Izaak course building
Connor: tech / Event coordinator
Orianna: Registration
Tim: Timing setup / General oversight
Stephen: Greeter and let people know where to go

-Timing Boxes (yes hoping to not use human error prone stop watches like previous years) Connor will be helping tim build with extra help from Jeremy, Thank you all!)

Other ITT Locations Beyond Elmore, we are looking into Swanton Bay, St. Albans Bay, and Lake Carmi.

Purchases Mt. Philo trailer needs tires, will do, (will also look at our other trailer tires to assess) -replace an Easy up that was damaged at Canaan. Voted on and passed.
-generator (for powering the Live timing Laptop at events) Talked cost and still
looking around at options.

Next month meeting location change! Vermont Tap House In Williston (Used to be Ponderosa across from Best Buy.) Well see how we like it.

Summer AutoX season We'll re-visit and shore up dates and make announcements

Meeting Minutes 2.19.19 Williston

Attendance: Paul Dudley, Tim Fournier, Seymour Prescott, Ed Williams, Amy Walter, Shawn Christianson, Nicole Stella, Chris Rielly, Stephen Dick, Jeremy Haas, Micayla Bell

New location seemed good, Great food n drinks...

This Saturday Can we pull off this weekend on Mallets bay with out key players Paul, Connor and Orianna? Lotsa talk about pros n cons, Jeremy and his Dad can help plow (keeping same course minus the elements.) After much discussion we've decided to go for it. Connor has already posted a link.
Pizza? Should we order more? seems like a yes. People chipping in seems to be working pretty well.

Orianna has stepped down as treasurer. She has been amazing to our club and will be very tough shoes to fill. She has offered to help train the next Treasurer and help with the transition (thank you very much) Talked about various short term coverage as well as looking for a new Treasurer. Thank you Orianna for all you have done! (and she's not going away, will see her next weekend on the Ice we hope). Shawn and Jeremy have interest in helping also thank you both!

Canaan Can we double check the status on the two Canaan dates? Seems we've requested dates and have not heard back

Other Venues We'll be getting in touch with Thunder Road and Diamond Run Mall and seeing up dates soon.

Mt. Philo Hill Climb is tentatively scheduled for Mother's Day Weekend (May 11&12)

Earlier Time for ITT? Discussed having an earlier time to get more runs in, Weighed out the pros and cons, Decided to keep things as they are and work on efficiency and better knowledge of timing equipment .

3/19/19 Meeting Notes

Notes were dropped from last meeting - posting my recollection of discussed topics for future use.

DRM: Discussed DRM contract, single lot use, planned dates. Determined 2 dates to be secured for DRM, stuck with two lots (compared to three of previous years)

Thunder Road: Discussed TR event count - 3 or 4 depending. Would like to maximize events at track venues, so 4 would be ideal.

Canaan: Canaan 2 or 3 day event - would be Monday Labor Day add on. Would be nice, but venue cost + insurance for additional day may not be overcome by attendance on a Monday/holiday.

Board: Board position openings - Treasurer discussed, PR to be filled. Discussed options for good fit.

ITT: Last ITT - cancellation possibility discussed. Weather not looking great

4.16.19 Meeting Notes. Williston

Attendance: George Rooney, Stephen Dick, Seymour Prescott, Simon Kribstock, Tim Fournier, Orianna Pecor & Corey, Mark Holderbach, Chris Rielly, Steve Jones, Paul Dudley

DRM Easter Sunday cancelled for various reasons, communication, weather, sweeping... Thought about having a mixed surface event, but seems unlikely due to insurance restrictions. . Looking to end our season there on Oct 6th. (my birthday)

Trailers -Fire extinguishers are missing pins? and unsure about count of extinguishers.
- T-shirts are in the Philo trailer.
- Trailer transition (Philo to Auto-X) clean & organize, maybe get totes.
- The time frame between Philo n Thunder Road in One Week.

First Autocross of 2019 - Thunder Road May 19th
-This is the year be build a relationship with Thunder Road!!
-We will have a 5 minute demo at a Thursday night race intermission on June 20th. working out details. (Simon and a few others?) Also will have a car on display at the concession area. (mebbe Ed's Stang?)
-Encouraged us to represent at the run what ya brung race. (look into it)

Board changes Orianna is staying on as a "silent partner" helping with the Treasurer position and Jeremy has taken over the PR position. Thank you Both!!

Philo May 10-12. May test out new live timing equipment there.
-Need a few volunteers for clean up day on Sat May 4th 10am
-Camp registrations are full.
-For all who are involved (driving and/or working) with wristbands are invited to tour the new Vermont Sports Car facility in Milton VT.

Contracts Thunder Road is done, Canaan is in progress.

Possible future venues for Autocross Any suggestions are welcome. Open to suggestions, love variety.

6.18.19 Meeting Notes. Williston

Attendance: Paul Dudley, Nicole Rocheleau, Stephen Dick, Orianna Pecor, Seymour Prescott, Tim Fournier, Chris Rielly, Ryan Chevalier, Seth Chase & Kristina, Eric Monger & Ashley

This meeting was non-typical. A great bunch of people with a bunch of great stories (That part is typical) but not much reportable agenda items.

Thunder Road this week and beyond We've decided not to take part in the intermission this Thursday for a few reasons but looking at mebbe having a car, info and spokesperson at future events. Paul will call soon to let them know within the next couple of days.

Trailer Re-Design Looks like Tim and Connor will take this (reminder about stud location, and pole positioning) :)

Rutland Diamond Run Mall October 6th (my 49th Birthday) We'll be in contact, also curious about next year having more events there.

Then, the waitress decided to bill us all on one check.....

7.16.19 Meeting Notes. Williston

Attendance: Tim Fournier, George Rooney, Connor Chapman, Stephen Dick, Ed & Amy Williams (soon), Eric Monger & Ashley, Jeremy Haas, Seth Chase)

-another pretty short meeting. Discussed the unfortunate flooding of Canaan. Thompson Speedway in CT offered to host us, but, pretty far away. Were more looking into filling in at Diamond Run Mall in rutland. Discussed what lots are available and offered as well as mebbe Ed could put up "please don't park in this lot" signs the day before our events.

-Connor made Action Item for Paul (we missed you!) about DRM, can we figure out whats going on? Is there a contract issue (or was that just for the Easter Sunday) could we do 2 days on Labor day weekend? how about that Stephen's Birthday October 6th date?

-we have a person with a 1990 Nissan Skyline (awesome) asking about classing. Being a JDM import its not listed in the SCCA classing list, How do we proceed? We want to welcome, and be fair to all moving forward. Tim will email and get more info. cool.

-ITT season results? (connor wanted a push, got it)

8.20.19 Meeting Notes. Williston

Attendance: (was huge!) So huge we couldn't split the check. Thanks Connor for your math wizardry!! -AMEC on Mallets Bay this winter. With an Ice Race!? We as a club are cool with welcoming this! May tie in with Winter Carnival to promote. Jan 31-Feb 2 weekend.
-Should link to a tour of Vermont Sports Car
-Plowing. Ryan from Milton is awesome, but an AMEC event will need a few plow trucks.

-Canaan Next weekend!

-Thunder Road may replace My Birthday event on Oct 6th Diamond Run Mall. (Thunder Road is better!) also may schedule it for Oct 13th or Sept 22. Paul will be in touch with Thunder Road on that...

-could we run an autocross while late models are practicing at Thunder Road? possibly. Could we run a "Multi-surface" autocross? Seems unlikely. It was a great meeting, hard to hear everyone, But super cool dedicated people there to keep us moving forward!

9.17.19 Williston

Wow, how am i gonna write this one up... sometime when a club just finishes a fantastic summer AutoCross season which consisted of Exclusively Thunder Road and Canaan Speedway, (glad Larson welded that roll bar in for me) we might just need a evening to have fun together... (stay tuned)

Insurance it was hard to hear, and un-official, but was discussed about how related clubs incidents may effect our rates. and how to move forward with our club's clean record.

Volunteers for Tech and Timing would other motivated members like to learn Tech, registration, timing and other intricate working positions? let us know, glad to branch out.

T-Shirt status seems like we need more, stickers too?

2019 Banquet (also tied in with the announcement that 2019 season is officially done) was talked about having the banquet as soon as next Month, Was quickly squelched by realistic time needs to make trophies and plan accordingly, will most likely be on Dec 6th or 7th. Spare time in Colchester? or other, well figure it out...

2020 ITT season Mallets Bay? seems best option.
-Ryan as plow guy, Jeremy in 4-runner as support. :)

AMEC seems like low interest, timing and distance are variables.

The other stuff whew, what a fun group. I'm torn with keeping it classy. What does Advocado taste like? it it the same as guac? (seems no..) Creamy Mud? also, remember the artist that made that song "white flag"? Dido? think she likes Ranch dressing?

The Triumphant return of Bolton Valley Hill Climb!
-Steve Jones reports that first time since 2004 The SCCV sponsored Hill climb at Bolton Valley will return!
-1.8 miles of New pavement!
-Bolton contacted us (home-owners and town are on board)
-We'll have access to sports center (showers) as well as good rates on rooms. Breakfast and lunches provided.
-Sunday Awards will have access to their Bar.
-Camping and hotel options available.
-Spectator friendly. (Bolton will control Spectator area)
-Break-out and High speed concerns (well figure that out)
-Dates challenge. (Okemo and Mt. Washington Hill Climb events planning) (also thoughts of connecting to Wolfsgart event first week of August)
-SCCV will host this event. voted and all in favor!

SCCV Awards Banquet 2019
-Will be on Friday Dec 6th at 7pm at City Sports in Colchester VT (same location as past couple years)
-trophies and awards talked about, need info on points and details.
-should we send out a text blast or email to boost attendance (19 were there last year)

- Chris R will be Elections Manager. (thank you!, he's done this in the past for us)
- Makes most sense to follow on-line directions to survey.

Ice Time Trials this winter!
-Gymkhana Big Success, We are the only club around doing this event. Host, Early in the season...
-Plow Guy. (last years Ryan) and Jeremy's dad based on needs and locations. \
-Elmore. Yes please!!

Club Trailer upkeep / re-work
-who can help and where? Looks like at Pauls place December 14th, contact us you have skills and can help out. (Metal Stud finder anyone? Nick?)
