Meeting Minutes 1.21.20 So. Burlington

Attendance: Orianna Prescott, Tim Fournier, Conner Chapman, Ryan Chevalier, Stephen Dick, Chris Rielly, Erik Riesner, Josh Benour, Nathan Reinig, Paul Dudley, Andrew Barber, Jeremy Haas, Britney Palermo

-Again, Happy New Year everyone 2020! new Decade! This was an interesting meeting, Lotsa noise, great people including two new faces!

ITT -First up is 2020 ITT (Ice Time Trial) season. Planned event on Elmore for Feb 1st 2020. We will try to communicate as much as possible. Please Pre register and understand when Mother Nature does her thing and we have to cancel we'll refund / credit appropriately. Mallets bay still needs more Ice (although the Ice out there is excellent quality), Elmore should be ready. Looking into the Triumphant return to Iroquois possibly?

2020 Autocross - Looking for new Venue options. got any ideas? Thunder Road has been real fun, but a money loss situation, Connor will (has) sent info to Paul about Loss and break even stats. Hoping to re-negotiate out cost to rent venue. Thank you Paul for helping communicate. Also were looking at checking in with Diamond Run Mall in Rutland to see if that is a possibility with all the changes lately.

Great to see you all! and thanks for new drivers. (and seasoned drivers) I'll be getting membership stuff updated soon, see you On Elmore Next Weekend ! with my Mom and her brownies!

Meeting Minutes 02.18.20 So. Burlington

ITT: 2/29 event planned as gymkhana on Mallett's Bay. Paul will assess and determine if we need to revert to standard event. Need large paddock to be plowed. COIs attained as of 2/19.

Autocross: Club to reach out to DRM contacts again for possible return. Paul to contact Thunder Road mid-March to discuss event costs and how many events to run. Club to make master event date master list to approach TR with.

Canaan Contract to be sent to us in next 1-2 weeks; dates are held.

Hillclimb: NEHA rule changes for 2020 will be published soon – to be voted on to adopt by SCCV.

Hello all,
As you would expect by now, most gatherings have been cancelled due to the epidemic with the Coronavirus. We have opted to cancel the upcoming meeting on Tuesday for this reason. We will however be offering for the public/membership to ask questions/offer discussion on Tuesday through the Facebook group here. For the sake of consistency, we will try to be available at 7PM on Tuesday as scheduled to open discussion with a post. Feel free to ask any questions or provide feedback at that time. Thank you for the understanding and stay safe out there.

Stephen Jones Topic: Mt Philo hillclimb. Chris and I are discussing tomorrow after we get some feedback from SCCNH. Covid19 is naturally a concern. More to come in the next few days.

Tim Fournier So quick recap of some initial thoughts - some early projections on Coronavirus has us worried it may trend into summer. We are considering a more conservative schedule (lower event count) and revamping the process to remove bodies out and about during reg/tech/working - this could mean drivers meeting over radio, tech with people in cars. We're trying to be open minded to keep events coming. We have two Canaan weekends locked down on the schedule and would prefer to keep it that way. This could possibly be in conjunction with a lower driver cap to keep things thinner, more track time/use for drivers, but would probably come with an increase in reg costs. Just throwing spaghetti at the wall for now

Tim Fournier Canaan could be up soon but we're waiting for some things to shake out first. We'll announce when it's live though. As for DRM, we reached out for this past season and our previous contact did not respond if my memory serves me correctly. DRM has gone through some changes with the closure of the mall - we have expressed interest in reaching out again as a last shot but the optimism is mild imo.

Very Un-Official, Just nice to check in and say friendly faces.

We touched on the future. social distancing, FM broadcasting... ?

Theres a drive by for a kid who loves cars in Milton after 1pm. Not sure where, but subaru peeps are meeting at Ace Hardware first...

Joes Pond still has Ice. possible for next winter?

Damn it i Just took the best live notes ever. Then i went to post and my computer ate them.

We mostly focused on Sept Canaan Event on Sep 5&6
-Logistics of how we make it happen safely.
Limit to VT and NH residents. Check temp at gate.
Insurance stuff.

Ed Has stepped up to be insurance guy. Thank you!

Also talked about Thunder Road, NY safety track and SLMP in the future.

A Lot of Covid concerns. Canaan seems pretty safe.
What states and counties are safe? how do we regulate that?

Canaan Details for SCCV Sep 5&6 AutoX
Co-Driver living with each other ok?
- Only paying drivers may attend the event.
- If you live together and drove to the event together you may drive together.

Face masks at all times or when not able to socially distance?
- We'll check with what David (track owner) and Paul would like.
Connor will get the answers.

Numbers to hold event
- 40 for each day. Currently at 16 and 13.
- Deadline is 8.26.2020
- We tend to have a lot of last minute registrants.
- possible charge double if numbers are low?
- Connor can also reach out to David to see if any flexibility of our cost? (thank you, don't pause)
- Paul, Nicole, Jeremy and Brittney are still going to sign up.
- Event chair and trailer transport will be not paid for this event to help possibility.
- 35 drivers per day will have us loose 1500 dollars. (roughly)
- case by case on specific people that we could allow? who would be checking and how?
- Hybrid approach?
- Brittney offered to help with zip code helping out. (thank you so much!)
- Thermometer will be gotten. Has been Gotten. I have one.
- wrist bands will be new and work well.

well... we didn't have a meeting. Josh and Stephen messaged a couple times. Josh posted the official results from our Canaan event and they look great!

Meeting Minutes October 20 2020

Board Positions Paul is not hoping to be on the board. Steve J and Chris may be into helping out. Open positions are Prez, quasi insurance. Nominations will happen soon, very much like 1999.

ITT Hopeful, and will Covid mess us up? Costs for insurance and plowing?
also talked about shared insurance with SCCNH. could there be and AMEC style event with us? May not be the right year for this.... still hopeful, mebbe diferent location on mallets, Carnival partnership? mebbe partnering with AMEC... talked details. Vermont Sportscar partnership or sponsorship?

Philo a request was put in. haven't heard back yet

Season points, awards and Trophies Simon has a co-worker who is interested in building trophies. Stephen will be glad to hand deliver them.
