2022 SCCV Monthly Meeting

1/18 Monthly Meeting

Attendance:
- Adam Tronsen: meeting host, minute-taker
- Paul Dudley

Insurance good for the next three weekends (1/22, 1/29, 2/5) (Thanks Ed!)

1/22 ITT Details
- Insurance: all set
- 21 or 22 entries so far… Cap is at 30
- Arrive by 8:00 for set-up (Paul, Simon, Adam, Stephen, Jeremy, Josh, Nicole)
- Greeter: Stephen (should park near the parking lot entrance or right after we go onto the lake
- Tech: Jeremy (Tech Master), Adam, Carlton Schimdt
+ Jeremy has the measuring tool
- Timing: Josh, Simon, Adam, and Stephen
+ Need to be cognizant of run-groups; 2 wheel/4wheel, snow/stud/super stud
- Parking: trucks and trailers can’t fit on the ice and should park on the shore
- Driver’s meeting details (Paul)
- Designated Tow Vehicle: Adam’s Jeep Cherokee
- Designated Timing Car: 1 car for each of the two timing groups to be determined
- Equipment: who’s bringing what
+ Simon: 30 cones, inverter, generator, auger, other radios, time equipment, red flags, fire extinguishers, whiteboard,
whiteboard markers, minor-waivers
+ Adam: 50’ power cord, 50’ HDMI cable, 2 radios, 2 whiteboard markers; twelve 12oz waters
+ Paul: 2 radios, plow truck
+ Josh: 2 radios, laptop
+ Stephen: adult waivers
- Plow: Paul will plow (and plow a parking area)
+ Plow a path to the store; Jeremy will drill for the path
- Lunch: getting pizzas from House of Pizza
+ $5 donations

Future ITT Schedule:
- Every weekend until the access-point ice is gone
- Tentatively have locations listed and state that we will go where the ice is
- 1/29 (insurance set)
- 2/5 (insurance set) (gymkhana at Mallets Bay?)
- Paul: Could we register for two different events for insurance to have flexibility for where we can hold an ITT event? Ed
can talk to the insurance agent to see how we can best arrange this.
- Should we change the height of super stud cars due to greater grip/g force/roll-over risk
+ SCCA’s rule: can’t be taller than it is wide
+ Find a handful of cars to find width/height. Figure out that percentage. Josh is on it.

To Do:
- Josh: after this event will send out an email blast from the Motorsports Reg event and put an event page on our website
- Josh: research revised super stud car height based on average car width/height ratio
- Luke: create staggered Facebook events for the 29th and 2/5 to be posted Saturday night of the previous event
- Ed: talk to insurance agent to determine how best to have flexibility for location of future winter events this season
- Adam will lock down Canaan: contact David
+ Look at doing two to bookend the summer season (one in April)
+ Could reach out to Mass Tuning and SCCNH to see if they have dates yet and how to best work it out with them

2.15 Monthly Meeting

ITT this upcoming weekend at Malletts Bay
- discussed pros and cons, and decided on having a gymkhana.
- who will be there and do what.
- Pizza can be charged on Motorsports Reg?
- Who has equipment and can show up early.
- No snow means no plow needed, and need to have more cones.
- Stephen will be greeter

Diamond Run Mall
- Details about payments and commitments.
- How many events? Looking at like 5 or 6 (once a month)
- can we pay the mall to sweep the lot one time?

Canaan
- is June 18th

Motosports Registration
- can we charge for pizza on there?
- can we link to sell shirts on there?
- T- Shirts were 15 for short. 20 for long and 2 or 3 for XXL and longer.

4.19.22 Monthly Meting

Mt. Philo
- Need Volunteers.
- Workers tend to not be drivers.
- Fire extinguishers are good. Trailer needs to be inspected.
- Camping spots are filled up.
- Breakout time. Explained well By Steve J.
- Bring a tarp.

Autocross Diamond Run Mall. K-Mart Big space. Rutland.
- MSR is up to Date.
- Luke created great schedule visual. (thank you)
- Fire extinguishers ok? Luke will handle thank you again!
- Cones and timing stuff?
- can Luke get us into Airborne? Seems like insurance issues... (due to being a dirth track these days)
- New event at DRM, where do we park? traffic controll? Caution tape, worker stations, Ed has a plan. Where do we paddock. (were likely to try both)
- Dirty pavement? how do we clean? Leaf Blowers? Power Broom? how many? how much ? Tyler and Adam can help. Only clean the course.... (good thought)

6.21.22 Monthly Meeting Zoom

Tech Troubles getting started with Zoom may need to have another Host... Adam fixed it, Thank you Adam!

Timing Concerns
- can we get better? and how?
- More reliable. Josh has good ideas for improvement.
- should we always weigh down the lights always in case of wind? Luke may have access to sandbags
- Assign people to help set up in the morning.
- Josh is in contact with manufacturer and has personal plans to improve timing. Thank you Josh!!

Canaan
- Did we make money? or break even? Lost 428.00
- More runs? up the price a bit?
- Live timing?

Extra Canaan dates
- Sunday the August: 7th and 21
- October 2nd and 9th and 16th
- Should this count for points? Many opinions, ant thoughts.

- how many and what style.
- Who do we go with?
- where do we store?

- now has security, including guards and cameras.
- "Massive Dangerous Hole" we need to stay away from this section!

Does Chair Of an event get free entry?
- Money wise, we haven't recently, but lately? not sure.

General questions
- is Canaan a loosing entity?
- fire extinguishers? Eazy ups...
- Price increase for events?

ITT
- plowing is a concern. Tough to know who and what truck will be available.
- Club Plow truck? logistics? costs? Lots of talk on this topic...
- Ed has an option, as does Jeremy's Father.
- Checking the ice conditions is a skill.
- Power drill options for auger (like Paul has)

Stowe Autocross Location
- out of our price range?
- contact person is likely to be Seth Achilles
- could it still be an option?
- insurance issues

Incentivize finding a new Autocross location (or Ice Time trials)
- Free events for finding us a new place?
- Share a PDF and make a challenge on Social Media

Next Months Event
- who can do what?
- Venmo is up and running
- Why is Ed not being re-imbursed for fuel? (setting up course)

- ITT Plow Truck
- $700 for 6 months of insurance through non-profit insurance per Ed.
a. Coverage for four people?
- $177 for months through private insurance.
- It makes financial sense for the club to purchase the truck per Ed.
a. The club has $11,460.25
- Can we cancel the insurance early when we’re finished using it?
- Is the plan to have Jeremy Haas be the sole person on the title?
a. Yes per Jeremy
b. Can we put a second person on the title as a back-up?
- When transferring a title, there is no conflict in doing this per Paul
- We can work that out later
- Does it make financial sense to insure it throughout the year for summer events?
a. no
- We only need insurance through the winter.
a. Can do fire and theft through the rest of the year.
- Other than the initial purchase and insurance cost, what would we be paying to maintain it?
a. It could cost an estimated extra $1500 for registration, inspection, and minor maintenance at most.
b. Who would do the maintenance?
- Per Paul, the members of the club would handle the maintenance.
- Josh has been tabulating the email votes:

- Vote to purchase Jeremy's plow truck in meeting:
